Sending a Teamgage Email Campaign
If you need to get a message out to your team, you can use the Campaigns feature to send a fully-customisable email to any of your staff who use Teamgage, while also allowing you to filter by team and type (manager or team member).
How to create and send a campaign
- Login into Teamgage.
- Select Campaigns from the left-hand-side navigation.
- Click the New Campaign button to create a new campaign (you can also see your previously sent campaigns using the Past Campaigns button).
- Complete the Design tab by choosing a name for the campaign, then choosing a subject line and filling in the contents of the email you wish to send.
- Switch to the Recipients tab then apply the desired filters to team-member type and teams. You can use the table at the bottom of the page to see a preview of who will receive the email.
- Switch to the Test and Send tab
- Using the Send widget choose to send the campaign now or schedule it to be sent at a later time & date. Note that the Test widget allows you to select up to 5 users, then click Send to Test recipients to get a preview of your campaign before actually sending it. This preview will only be sent to the selected users.
- Once you have clicked Send Now or Schedule Campaign (depending on whether you are sending the campaign now or later), you will be taken a page where you can view the campaign and the team members who received the message.
- If you have scheduled the campaign in error, you can click the Cancel button to stop the campaign from being sent.
FAQ
- Q: Can I cancel a campaign?
- A: Yes, a campaign can be cancelled until it’s scheduled time has been passed in all timezones (even if some users have already received the message).
- Q: What are the 'user type filters'?
- A: They are a convenient way to filter your recipients to a subset of users. Here are the definitions of each user:
- Admin: Anyone listed as a HR admin for your organisation.
- Manager: Anyone who is a manger of at least one report.
- Submitter: Anyone who submits into at least one team.
- Q: Can I attach images and other media to my email?
- A: Yes you can! Just use the insert image button on the email editor to add an image. Unfotunately videos cannot be embedded into an email, but you can still add a link to a place where your video can be viewed (youtube, Vimeo, Sharepoint, etc.)
