Email Deliverability and Spam Filters

Email Deliverability and Spam Filters

If you're not receiving emails from Teamgage, there are a few common things to check before escalating the issue.

Troubleshooting Missing Teamgage Emails

Try the following steps:
  1. Check your Spam or Junk folder
  2. Log into Teamgage and send yourself a test email
  3. Confirm the email address on your Teamgage account is correct, paying close attention to:
    1. Spelling and punctuation
    2. Hyphenation
    3. Nickname vs full name
    4. Your organisation’s email domain (the part after the @)
  4. Check whether you have multiple inboxes or email aliases
  5. If you use the Teamgage Microsoft Teams app, notifications may be delivered through Teams instead of email
  6. Ask your Teamgage Admin to check for undelivered or bounced emails within the platform

Why Emails May Go to Spam or Junk

Teamgage sends emails using secure and reputable email delivery services. However, legitimate emails can occasionally be incorrectly flagged as spam. This is known as a false positive.
Most organisations use spam or security filters to protect users from malicious emails. While important, these filters can sometimes incorrectly block legitimate notifications.
Common reasons include:
  1. Overly aggressive spam filtering rules
  2. Third-party email blacklists
  3. Misconfigured email security settings
  4. Users marking legitimate emails as spam
Because email filtering is managed differently across organisations, behaviour can vary between environments.

How to Resolve Spam or Deliverability Issues

In many cases, your organisation’s IT department manages email filtering and security settings.
To help resolve the issue:
  1. Report the Teamgage email as a false positive to your IT support team
  2. Ask your IT department to review their spam filtering configuration
  3. Consider implementing Email Whitelisting for Teamgage notifications
When configured correctly, email whitelisting helps ensure Teamgage emails are delivered directly to users’ inboxes.
