Understanding Self Allocation in Teamgage

Self Allocation allows team members to update the team they belong to during a Huddle or Survey submission, without needing a Teamgage Administrator to manually make the change.
Depending on how your organisation has configured Self Allocation, team members may be able to:
  1. Join another team
  2. Move to a different team
  3. Join an additional team while remaining in their existing team
Requests can be:
  1. Approved automatically
  2. Approved by a Manager
  3. Approved by a Teamgage Administrator
  4. Disabled entirely
If a request requires approval and is neither approved nor declined, it will automatically be approved after 7 days.
Alert
If your organisation manages people data through an HRIS or regular data upload, any approved team changes should also be reflected in your source system. Otherwise, they may be overwritten during the next synchronisation.

Configuring Self Allocation

Self Allocation is configured by Teamgage Administrators and can be enabled or disabled at any level of your organisational hierarchy. The feature uses inheritance, meaning settings applied to a parent team automatically flow down to all child teams unless overridden.
For example:
  1. If Self Allocation is enabled for the Operations department, every team beneath Operations inherits that configuration.
  2. If you want a particular team to behave differently, you can override the inherited setting for that team only.

How to Configure Self Allocation

  1. Log into the Teamgage platform
  2. Select Teams > Team List in the side navigation
  3. Search for the team you want to configure
  4. Select Edit
  5. Open the Self Allocation tab
  6. Choose one of the following options:
    1. Team member can join this team to join team
    2. Manager approval required to join team
    3. Admin approval required to join team
    4. Self Allocation is off
  7. Click Save

Managing Pending Requests

If Manager or Admin approval has been enabled, any pending requests can be reviewed before they are applied.
From the Pending Requests screen you can:
  1. Review the requested team change
  2. Approve the request
  3. Decline the request
  4. View previous requests
If no action is taken, pending requests are automatically approved after 7 days.

Using Self Allocation During a Huddle or Survey

If Self Allocation is enabled for your organisation, team members can request to join or move to another team while completing their Huddle or Survey submission.
Depending on your organisation's configuration, the request may:
  1. Be applied immediately
  2. Require Manager approval
  3. Require Administrator approval
Once approved, the user's team membership will automatically be updated within Teamgage.

Additional Information

  1. Self Allocation Audit Logs allow Administrators to review all requested and completed team changes.
  2. Team members can request team changes up to five times within a 30-day period.
  3. Teamgage Administrators can manually override any team allocation if required.
  4. Managers can also manage team membership when Manager Team Management has been enabled.
  5. To disable Self Allocation across your entire organisation, edit the Entire Organisation team and set Self Allocation is off.
