Managing People & Teams via Data Export/Import
Who Is This For?
Organisations with fewer than 200 employees and are looking to make multiple changes at once instead of managing this individually utilising the
Self-Managed Data Guide.
To keep your People & Teams data up to date, you'll need to update Teamgage whenever:
- Employees move teams
- New employees join
- People leave
- A restructure takes place
You will need Admin access within Teamgage to complete any of the below steps.
Overview Of The Process
- Export your current People & Teams data from Teamgage
- Make changes in the spreadsheet
- Upload the updated file to Teamgage
- Our Support Team will validate the file and reach out to you if we need further clarification of the changes. You may receive an Import Preview to confirm user & team structures, which will require your approval prior to uploading into the system
Step 1. Export Your People & Teams Data
Step 2. Make Changes Using The Downloaded Export File
You can complete all the following actions in one update/upload if you prefer
Add a New User
- Navigate to the Users tab
- A a new row with first name, surname, email & team

Copy & paste the TeamName from an existing user to ensure it matches exactly- Save the file
Remove a User
- Navigate to the Users tab
- Delete or clear the user's row
- Save the file
Edit a User
- Navigate to the Users tab
- Locate the user and update the necessary details
- Save the file
Add a New Team
- Navigate to the Teams tab
- A a new row with:
- Team Name
- Where it sits in the hierarchy
- Manager email(s) for dashboard access

Always copy a TeamName from a similar team in the hierarchy and then edit, rather than typing it from scratch.- Save the file
Remove a Team
- Navigate to the Users Tab
- Update all team members of the team with their new TeamName
- Navigate to the Teams tab
- Delete or clear the team's row
- Save the file
Step 3. Upload The File
Once all changes have been made, upload the file via the Teamgage Portal
(Learn More).
- Log into the Teamgage portal
- Go to Advanced > Files
- Click New and upload your logo
- Click Save
Step 4. Completing The Setup
- Our Support Team will validate your file and applies any necessary data transformation rules if needed
- You may receive an Import Preview to confirm user & team structures, which will require your approval prior to uploading into the system
